Privacy Notice

Version 1.0 • September 2026

Electrical Solution Installs Ltd (“ESI”, “we”, “us” or “our”) respects your privacy and aims to be clear about how we use personal information. This notice applies to customers, prospective customers, business contacts, website visitors and other people whose information we receive in connection with our electrical work and business activities.

For data-protection purposes, Electrical Solution Installs Ltd is the controller of the personal information described in this notice. This notice should be read alongside our Terms and Conditions of Business and any cookie information or settings made available on our website.

1. Personal information we collect

The information we collect depends on how you deal with us and the work involved. It may include:

  • Identity and contact details, such as your name, address, email address, telephone number, job title and organisation.
  • Property and job information, including the installation address, access arrangements, site details, photographs or videos, survey information and information about the existing electrical installation.
  • Commercial and account information, such as enquiries, estimates, quotations, contracts, variations, invoices, payment status and warranty or complaint records.
  • Technical and compliance information, including test results, electrical certificates, Building Regulations or competent-person-scheme records, DNO information and information needed for EV charging, smart-home, CCTV, network or similar installations where relevant.
  • Communications with us, including emails, messages, telephone notes and, where enabled, call recordings or transcripts.
  • Payment information, such as payment status, transaction references and information needed to record or reconcile payments. Where you pay by card or another supported electronic method, the payment is processed by a payment service provider. We do not normally receive or retain your full payment-card details.
  • Website and digital information, such as information submitted through our website and technical information collected through cookies or similar technologies, as explained in the cookie information or settings presented on our website.

We do not normally ask for special-category information. If you choose to tell us about health, disability or accessibility needs so that we can work safely or make a reasonable service adjustment, we use that information only where necessary for that purpose and where data-protection law permits us to do so.

2. How we obtain personal information

Most information comes directly from you, for example when you telephone, email, complete an enquiry form, upload photographs, request an estimate, accept work or communicate with us during a job. We may also receive information from someone acting on your behalf or connected with the work, such as a landlord, managing agent, main contractor, builder, family member or other occupier.

Where relevant, we may receive or verify information through competent-person or certification schemes, building-control bodies, electricity network operators, manufacturers, suppliers, insurers, professional advisers or other organisations connected with the work. We may also use publicly available business or property information where there is a proper reason to do so.

Where we receive personal information about you from someone else, this may include your name, contact details, role, property or access information and other details needed for the work. If you have not already been given this notice, we will provide it or direct you to it within a reasonable period and normally no later than one month, or earlier when we first contact you or disclose the information, unless the law provides an exception.

3. Why we use your information and our lawful bases

We only use personal information where we have a lawful basis. Depending on the circumstances, we may use it for the following purposes:

  • Enquiries, surveys, estimates, quotations and appointments: to take steps at your request before entering into a contract, to perform a contract, and for our legitimate interest in responding to enquiries and managing our work.
  • Carrying out, managing and supporting electrical work: to perform our contract with you, including ordering materials, arranging access, completing work, invoicing, warranty support and dealing with variations or faults.
  • Certification, notification, safety and regulatory requirements: to comply with legal obligations and, where appropriate, to perform our contract and maintain proper technical records.
  • Accounts, payments and business administration: to perform contracts, comply with tax and accounting obligations, manage payments and debts, and protect our legitimate business interests.
  • Job records, photographs, quality control, complaints, insurance and legal claims: where necessary to perform our contract, meet legal obligations, document our work, resolve issues and establish, exercise or defend legal rights.
  • Aftercare, technical support and installation history: to support previous work, provide replacement records and deal with warranties, faults or later technical queries. We rely on our contract where this relates to work we carried out and on our legitimate interests in maintaining useful technical and customer records.
  • Service reminders, feedback and business improvement: to send occasional relevant reminders about inspections, maintenance or similar services connected with previous work, seek feedback and analyse our services and workload. We rely on our legitimate interests and comply with any marketing, consent and opt-out rules that apply.
  • Calls, communications and automated or AI-assisted services: where enabled, we may record or transcribe calls and use automated or AI-assisted systems to help receive and respond to enquiries, summarise communications, provide standard service or pricing information, check availability, arrange appointments and bookings, confirm work and carry out related administration. Where we use these systems, we rely as appropriate on taking steps at your request before entering into a contract, performance of our contract and our legitimate interests in operating the business efficiently and providing a responsive service. We will tell callers if a call is recorded or transcribed. You can ask for a person to review or take over the matter at any time.
  • Website operation and security: for our legitimate interests in operating, protecting and improving our website and systems. Where the law requires consent for non-essential cookies or similar technologies, we will ask for it.

Where we rely on legitimate interests, those interests include running and protecting our business, keeping appropriate records, providing and improving our services, preventing misuse, resolving disputes and communicating appropriately with customers and business contacts. We consider whether those interests are balanced against your rights and reasonable expectations.

Where automated processing is used to make a decision that has legal or similarly significant effects on you, we will apply the additional safeguards required by data-protection law, including appropriate information and a straightforward way to ask for human intervention, make representations or challenge the decision.

We may also create aggregated or genuinely anonymised information for statistical, service-planning and business-analysis purposes. Once information no longer identifies an individual, it is no longer personal information.

4. Site photographs, CCTV, smart-home and network systems

We may take photographs or short videos where reasonably needed for an enquiry, estimate, survey, technical record, certification, safety record, evidence of completed work or to help diagnose a fault. We try to avoid capturing people or unrelated personal information where it is not needed. We will not use photographs of your property for public marketing without your permission.

During the installation, commissioning or support of CCTV, doorbells, smart-home, access-control or network systems, we may temporarily see device, network, image, video or audio information that is necessary to carry out the agreed work. We use that access only for the job or support being provided. Temporary passwords, account credentials or similar access information are not intentionally retained once they are no longer needed, unless ongoing support has been specifically agreed or retention is otherwise required by law.

Once a system has been handed over and our temporary access has ended, ESI does not determine how ongoing footage or recordings are used or retained. The person or organisation operating the system is responsible for its use and for any data-protection obligations that apply to them. If ongoing managed support or access is specifically agreed, our role will depend on that arrangement.

5. Who we share personal information with

We do not sell personal information. We share it only where reasonably necessary for the purposes described above. Depending on the circumstances, recipients may include:

  • Employees, competent subcontractors and other contractors involved in delivering the work.
  • IT, cloud storage, email, document-management, website, hosting, backup and communications service providers used to operate our business.
  • Customer, work-management, business-administration, accounting, bookkeeping and tax service providers.
  • Payment service providers where you choose to make a card or other supported electronic payment.
  • Providers of AI-assisted productivity and administrative tools where these are used to help draft, organise, summarise or process business information.
  • Competent-person and certification schemes, building-control bodies, electricity network operators, local authorities, grant or scheme bodies and other organisations where notification, certification, commissioning or compliance administration requires it.
  • Suppliers and manufacturers where necessary to order products, arrange delivery, register equipment or deal with warranties and technical support.
  • Our accountant, insurers, legal or professional advisers, debt-recovery providers and other advisers where necessary.
  • Professional advisers, prospective purchasers or successor organisations where reasonably necessary in connection with a proposed sale, merger, restructuring or transfer of our business or assets.
  • Regulators, courts, law-enforcement bodies or other authorities where we are required or permitted by law to disclose information.

We aim to disclose only the information reasonably needed for the particular purpose.

6. International transfers

Some of the service providers we use, or their subprocessors, may process personal information outside the UK. Where this involves a restricted international transfer, we take steps to ensure that an appropriate lawful transfer mechanism or safeguard is in place, such as UK adequacy regulations or approved contractual safeguards where applicable. You can ask us for more information using the contact methods in section 8.

7. How long we keep information

We keep personal information only for as long as it remains reasonably necessary for the purpose for which it was collected or another legitimate purpose. In deciding how long to retain information, we consider the nature of the record, the electrical installation or property it relates to, safety and certification needs, legal and tax requirements, warranties, the ability to provide replacement records, potential complaints or claims, and the sensitivity of the information.

  • Enquiries that do not proceed are normally reviewed once there has been no meaningful contact for around three years. At review, information that no longer serves a business, legal or evidential purpose may be deleted or reduced.
  • Financial and accounting records are retained for at least the periods required by tax and company law and may be kept for longer where reasonably necessary for accounting, audit, contractual, tax or legal purposes.
  • Technical and certification records may be retained substantially longer. Electrical certificates, test results, installation records, Building Regulations records, accepted scope and variations, relevant photographs and associated job information may remain useful for electrical safety, certification, property history, replacement documentation, warranty or compliance matters, regulatory requirements or the establishment or defence of legal claims. These records may therefore be retained for 15 years or longer where they remain relevant; reaching 15 years does not automatically mean that a record will be deleted.
  • Routine correspondence, call recordings and transcripts may be removed when they are no longer useful. Important communications or call-derived information relevant to acceptance, variations, technical instructions, safety, complaints or other job evidence may be retained with the job record for as long as the underlying record remains necessary.
  • Temporary account credentials, commissioning access and similar sensitive information are removed when they are no longer needed for the work or agreed support. Health, disability or accessibility information is kept only for as long as it remains necessary for the relevant purpose.
  • Website cookie and analytics information is retained in accordance with the cookie information and settings presented on our website, where applicable.

We periodically review older records and delete, anonymise or minimise personal information where there is no longer a clear reason to keep it. If a complaint, insurance matter, legal claim or regulatory issue arises, relevant information may be retained for longer while that matter remains active or reasonably foreseeable.

8. Your data-protection rights

Depending on the circumstances and the lawful basis we rely on, you may have the right to ask us for access to your personal information, correction of inaccurate information, deletion, restriction of use or transfer of information. Where we rely on consent, you can withdraw it at any time.

Right to object. Where we rely on legitimate interests, you may object to that processing. We will consider your circumstances and stop unless we have compelling legitimate grounds to continue or the processing is needed for legal claims.

If we use your information for direct marketing, including eligible service reminders, you may object at any time and we will stop using it for that purpose.

To exercise a right or ask a privacy question, use the contact form on our website, telephone 01244 987 888, or write to Electrical Solution Installs Ltd, 37 Cestria Building, George Street, Chester, CH1 3ER. If you are already corresponding with us by email, you can also reply to that correspondence. You do not have to use any particular wording or form. We may need to verify your identity before acting on a request.

We will normally respond without undue delay and within one month. Rights requests are normally free of charge, although the law allows additional time or a reasonable fee in limited circumstances. If that applies, we will explain why.

9. If you do not provide information

Some information is needed so that we can assess a job, prepare an estimate or quotation, enter into and perform a contract, issue required documentation or comply with legal duties. If you do not provide information that is reasonably necessary for those purposes, we may be unable to provide the relevant service or complete the required administration.

10. Security

We use appropriate technical and organisational measures intended to protect personal information against accidental loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people and service providers who need the information for legitimate business purposes, subject to appropriate confidentiality and security arrangements.

11. Questions, complaints and changes to this notice

If you have a concern about how we use your personal information, contact us first through the website contact form, on 01244 987 888, by post at the address above, or by replying to existing email correspondence. We will investigate and try to resolve it. You can also complain to the Information Commissioner’s Office (ICO), the UK data-protection regulator, at ico.org.uk or on 0303 123 1113.

We may update this notice if our services, systems, suppliers, uses of personal information or legal obligations change. The current version will be available on our website or on request, and we will draw material new uses to your attention where required.
